buzz.events ("Buzz", "we", "us") is an event platform operated by BWH Technologies LLP, C/O Mohd Afzal Nagaria, Majjid Road, Vrindavan Colony, Jagdalpur, Bastar, Chhattisgarh 494001, India. Organizers use it to publish events, sell tickets and manage attendees. This policy explains what personal data we collect, why we collect it, who we share it with, and the choices you have.

1. Who is responsible for your data

  • Account data: we are the controller (the "Data Fiduciary" under India's Digital Personal Data Protection Act, 2023, "DPDP Act") for your account and for how you use the platform.
  • Booking and attendee data: when you register for an event, the organizer of that event decides what data to collect and how to use it. We process that data on the organizer's behalf. For questions about a specific event's use of your data, contact its organizer. The organizer's name and contact details are shown on the event page. If you contact us instead, we will pass your request on.
  • Data organizers take off the platform: if an organizer exports attendee data, or uses it outside Buzz (for example in their own mailing list), the organizer's own privacy practices apply to that use.

2. Data we collect

Data you give us

  • Account: name, email address, profile photo, language and time zone preferences. If you sign in with a third-party provider such as Google, we receive your name, email address and profile photo from that provider.
  • Bookings: first and last name and email address for each attendee, ticket types, add-ons (for example T-shirt size or meal choice), coupon codes, and answers to any extra questions the organizer adds to the booking form.
  • Billing: billing address, tax ID or GSTIN if you request a tax invoice, and your payment method type.
  • Speakers: display name, designation, company, photo, social media links, and talk or event proposals you submit.
  • Sponsors: company name, logo, website, country, contact email, phone number, and answers to any enquiry form.
  • Feedback: event feedback responses.
  • Organizers and teams: team name, logo, member email addresses and roles, and invitations you send.

Data we collect automatically

  • Check-ins: the date and time your ticket is scanned at an event.
  • Marketing attribution: UTM parameters in the link you used to book, and campaign QR codes you scanned.
  • Technical data: IP address, browser and device type, and server logs. We use these for security, fraud prevention and debugging.

Data from payment providers

  • Payment status, order ID and transaction ID from Razorpay, Stripe or PayPal. We never see or store your full card number, UPI PIN or bank credentials. The payment provider handles them directly.

3. How we use your data

  • To create and secure your account and sign you in.
  • To process bookings and payments, issue tickets and QR codes, and generate invoices.
  • To send transactional emails: booking confirmations, tickets, changes, transfers, cancellations and refunds.
  • To let you manage your booking yourself: change add-ons, transfer tickets and request cancellations.
  • To show speaker and sponsor profiles and logos on public event pages when you submit them for that purpose.
  • To let organizers run their events: attendee lists, check-ins, feedback, communications and campaign attribution.
  • To prevent fraud and abuse, and to comply with tax and legal obligations.
  • To improve the platform. We use aggregated data where possible.

We do not sell your personal data. We do not use it for third-party advertising.

4. Who we share data with

  • Event organizers: the organizer, and any co-hosts, of each event you book or engage with.
  • Service providers who help us run the platform, under contracts that limit their use of your data:
    • Razorpay, Stripe and PayPal (payments). Each also follows its own privacy policy.
    • Google (sign-in, if you choose it).
    • Frappe & Frappe Cloud (hosting and data storage).
    • Frappe, Frappe Mail & Resend (sending transactional emails).
  • The public: information you choose to publish, such as speaker profiles, sponsor logos and event pages.
  • Authorities: when the law requires it, or to protect the rights and safety of users or the platform.
  • Business transfers: a successor entity in a merger or acquisition. We will notify you if this happens.

5. Cookies

We use essential cookies to keep you signed in, protect forms from misuse, and remember your preferences. We do not use advertising or third-party tracking cookies. We use onedollarstats.com to count page visits and understand how the platform is used.

6. How long we keep data

  • Account data: until you delete your account.
  • Booking, payment and invoice records: as long as tax and accounting laws require, generally 8 years in India.
  • Organizer event data: as long as the organizer keeps it, or until the organizer asks us to delete it.
  • Security and server logs: 1 year, as required by Indian law.

When a retention period ends, we delete the data or make it anonymous.

7. Your rights

Depending on where you live, including India under the DPDP Act and the EU or UK under the GDPR, you can:

  • access your personal data;
  • correct or update your personal data;
  • ask us to delete your personal data;
  • withdraw consent (this does not affect processing done before you withdrew it);
  • object to or restrict processing;
  • get a copy of your data;
  • nominate someone to exercise your rights if you die or become unable to;
  • complain to your data protection authority, including the Data Protection Board of India.

You can update most profile details yourself in your dashboard. For other requests, email our Grievance Officer (section 12). We acknowledge requests within 7 days and resolve them within 30 days. We may need to verify your identity first.

8. Security

We use HTTPS encryption, access controls and role-based permissions. Only people who need data to do their job can access it. No system is perfectly secure. If a breach affects you, we will notify you and the relevant authorities as the law requires.

9. Where your data is stored

Your data is stored in APAC Region (India) and may be processed in other countries where our service providers operate. Where the law requires it, we use appropriate safeguards for these transfers.

10. Children

buzz.events is not intended for children under 18, and children may not create accounts. A parent or legal guardian may book a ticket for a minor. By doing so, the parent or guardian confirms that they are the minor's parent or guardian and consents to the processing of the minor's data for that booking. We do not use children's data for tracking, behavioural monitoring or targeted advertising.

11. Changes to this policy

We will post updates on this page and change the "Last updated" date. For significant changes, we will also notify you by email.
